The admissions CRM specialist will serve as the data and business systems expert for the most efficient and effective use of the Office of Admissions’ CRM, Slate. The person in this position will help manage data, reporting, workflows, and systems for recruitment and admissions, and will also work closely with other offices to improve the College’s business processes. This includes the full incorporation of the CRM in all aspects of new student recruitment and enrollment. In addition, this position serves as the Office of Admissions’ primary contact with the Office of Financial Aid, facilitating efficient and effective data integration between the admissions CRM and the College’s SIS.
Responsibilities and Qualifications
Key Responsibilities
- CRM Management
- Enable better recruitment through continuous improvement and adoption of the CRM
- Support admissions operations from application creation to decision processes as they are channeled through the CRM
- Partner with the director of admissions to enable integrated digital campaigns that advance enrollment goals
- Manage all software processes
- Analyze current and historical data for patterns, trends, and issues, and develop predictive models for use in assessing admissions/enrollment trends
- Implement software features in the CRM that allow staff to better recruit students, including comprehensive change-management plans to ensure adoption by users
- Update staff assignment, application checklist, etc.
- Maintain online enrollment checklist and forms used for data needed by the Office of Student Affairs for new student orientation, as well as data needed by the Offices of Residential Life and the Registrar, before incoming students arrive on campus
- Manage and monitor security permissions for CRM users
- Regular Reporting
- Create a weekly projection report for territories and student segments
- Produce a weekly financial aid report
- Generate a monthly source report
- Produce a monthly applicant pool report
- Liaison to the Office of Financial Aid
- Oversee integration of data between the Offices of Admissions and Financial Aid, working with IT staff to investigate errors and acting as the first point of contact with the director of institutional data stewardship
- Fulfill data requests for financial aid analytics from EAB (our discounting strategy firm)
- Communicate all changes in the Office of Admissions’ awarding and discounting policies to the Office of Financial Aid
- Update and ensure accuracy of auto-packaging algorithms in both the CRM and in financial aid systems as packaging policies are changed
- Provide the Office of Admissions with lists of applicants missing materials needed for packaging
- Work in conjunction with the director of financial aid to build upcoming-year software data
- Assist in implementation of new software when applicable
- Build data reports when necessary
- Provide support for other roles in the office as needed
- Other duties as assigned
Minimum Qualifications
Education and Experience
- Bachelor’s degree
- Strong human relation and interpersonal communication skills
- Sound organizational and personal management skills
- 3+ years of progressive experience in admissions, financial aid, student affairs, and/or CRM management experience
Administration
- Ability to work independently and be agile, flexible, and have the ability to think and move quickly while maintaining a realistic balance among multiple priorities
- Ability to work autonomously and in a team-based environment
- Developing and maintaining a thorough, detailed and accurate knowledge of college structures, programs, and services, and promoting these services to prospective students and other stakeholders
- Developing and maintaining positive, collaborative working relationships with other division and college staff
- Handling sensitive and confidential information in a business-like manner
- Projecting and maintaining a positive, a professional image of the college when meeting or talking with students or other outside contacts
- Assisting others, as necessary, in keeping work current, meeting deadlines, or spreading workloads equitably
- Prioritizing work activities to complete assignments by expected deadlines and make the most effective use of available time, including meeting expressed goals that are agreed to at the beginning of each academic year
Communication
- Possess strong communication and interpersonal skills with abilities to effectively work with all campus constituencies and the greater public
- Ability to communicate effectively with technical and non-technical staff, as well as with prospective students and applicants
